PMS (Property Management System)
A PMS (property management system) runs the day-to-day work inside a property from one system: the reservation ledger, room assignment, check-in and check-out, and revenue. Its real job is to make sure there is exactly one answer to the question of what is happening in your rooms right now.
What a PMS actually does
Bookings arrive from different places and land in one ledger, and that ledger carries through to room assignment, housekeeping status and settlement. Properties moving off spreadsheets and text messages usually notice one thing first, and it is not a feature: nothing has to be written down twice.
The effect grows with room count. Questions like which rooms are free on a given date, or how to fill the single night wedged between two multi-night stays, get answered by a screen instead of by memory.
The right answer changes with size
For a ten to thirty room guesthouse or pension, an all-in-one that bundles reservations with channel connectivity usually fits. There is nobody to operate two systems, and in practice the features used cluster around three things: bookings, rates and housekeeping.
Above fifty rooms, front-desk workflow and user permissions start to matter. For a chain or a multi-property operator, the deciding factors become seeing every property on one screen and splitting head-office and on-site permissions. Look less at the length of the feature list and more at whether the system holds the shape of your actual day.
Frequently Asked Questions
- Do I need a separate PMS and channel manager?
- Either works. Separate systems let you pick the strongest tool in each area, but inventory drifts whenever the link between them breaks. A combined platform keeps inventory in one place, so there is less to drift. For small and mid-sized properties the combined path carries less operational load.
- Isn't a spreadsheet enough?
- It can be, with few rooms and one channel. But a spreadsheet does not update itself when a booking arrives. While someone transcribes bookings from OTAs, phone calls and messages, double-bookings and omissions appear — and that cost scales with the number of channels, not the number of rooms.
- What happens to my existing data when I switch?
- Typically room types and rate plans move first, then bookings from a cut-off date forward. Migrating every historical reservation is rare. During the transition it is safer to run both ways in parallel for a day or two and reconcile.
