Channel Manager
A channel manager keeps your room inventory and rates in one place and pushes every change out to the OTAs you sell on, so a booking on one channel immediately reduces availability on the rest. The moment you sell on more than two channels, keeping them aligned by hand stops being realistic.
Why you need one — overbooking is structural, not careless
List ten rooms on three OTAs and all three can sell the same room at the same time. The minutes between a booking landing on one channel and someone lowering inventory on the other two are the window in which overbooking happens. That window is widest exactly when bookings cluster: peak weekends.
A channel manager removes the gap. A booking, a cancellation or a rate change on one side propagates to every connected channel. What you manage is no longer a number of channels but a single pool of inventory.
What to compare — connection depth, not channel count
Channel counts are easy to compare, so they get looked at first. What actually shapes daily operations is how deep each connection runs. A connection that carries only inventory and rates is not the same thing as one that also carries booking details, cancellation policies, promotions and settlement data.
Check three things: whether the channels you actually sell on are supported, whether rate plans and room types can differ per channel, and what happens when a connection breaks — how you find out and how fast. The last one decides how large an incident gets.
Frequently Asked Questions
- How is a channel manager different from a PMS?
- A PMS handles what happens inside the property — the reservation ledger, room assignment, check-in and check-out, revenue. A channel manager handles selling outside it — inventory and rates per OTA, and collecting the bookings that come back. They work as a pair, and increasingly one platform provides both.
- Do I need one if I only sell on a single OTA?
- Not urgently. But the moment you add a second channel you have to reconcile inventory in two places, and from there the cost of doing it by hand passes the cost of a system. If adding channels is on your roadmap, it is cheaper to set this up before you add them.
- Will it reduce my OTA commissions?
- Not by itself — commission rates are set by the OTA. What it reduces is the compensation you pay when you oversell and the hours spent reconciling inventory. To cut commissions you have to grow direct bookings through a booking engine, and a channel manager is what keeps those direct bookings on the same inventory as everything else.
